The Contract Management Tool we developed for MGN Fire Protection helped them manage contracts across the UK

The Client

MGN Fire Protection provide fire protection equipment and materials to the building sector. This includes fire boarding, specialist coatings and fire stopping/air sealing systems. They have been based in Northumberland, UK for the past 20 years.

The Project

Our client is contracted to work on building projects around the UK. Not all of this work can be pre-planned and was carried out on an ad-hoc basis. So, our client needed a contract management tool that was flexible, precise, and easy to use.

When our client works on large building projects, they are often asked to carry out extra on site work. This is work that is not covered in their original contract. This requires extra labour, stock, and costs to be added to the contract cost. This also had a direct effect on the payment schedule for the contract.

Our client found that existing contract management tools were not able to cope with this ad-hoc work.

Our Solution

We developed a flexible contract management tool that allows our client to enter and monitor;

  • Work carried out on the main contract
  • Extra ad-hoc work carried on the contract

To ensure that data is entered correctly we used a series of Windows style forms. These had built in error prevention that validated the data as it is entered.

The contract management tool we developed managed the entry of data for;

  • Client data
  • Contract data
  • Employee’s hours
  • Materials
  • Consumables

This resulted in the need for a large number of data entry forms and reporting screens. To help the user navigate these we developed a user-friendly navigation system.

The Result

Our client has seen many benefits since they started using the contract management tool including;

  • Quicker recording of costs and ad-hoc elements
  • Improved control of employee’s hours
  • Greater control of the ad-hoc purchasing of materials
