Corporate Citizenship is a global consultancy focussing on sustainability and corporate responsibility. Their clients came from all around the globe and included many household brands. To service their clients they have offices in London, New York, Singapore, San Francisco, and Santiago.
Many of Corporate Citizenship’s clients donate the use of unused properties to charities. The donated buildings and their use by charities is managed by the local offices of our client. However, all of the reporting is done at their HQ in London.
As each of their client’s property portfolios grew, managing how the buildings were being used and reporting on it became a growing issue. Data from more and more buildings needed to be collated by their London HQ.
This meant a lot of cutting and pasting between various spreadsheets and emails. This used up a lot of time and effort while adding the risk of errors.
We helped our client to identify their key metrics and KPIs for managing the properties use. Once the KPIs were identified we produced a two part data gathering tool that automated the process of gathering the data from the remote offices.
The first part of our solution was to create a data entry spreadsheet for each of the remote offices. This allowed each office to enter the details of each property and charity they managed. All of the entered data was checked as it was entered to greatly reduce the risk of errors.
Once the data had been entered, a second tool gathered up the data into a single reporting tool. The reporting tool then produced a number of dynamic reports that include;
- Monetary values of the donations for tax purposes
- How many people benefited from the use of the buildings?
- Types of charities making use of the buildings
All of the reports are dynamic to allow the user to set the criteria for each of the reports. The user simply makes their selections from a series of drop downs.
Our data gathering tool was such a huge success the client rolled it out to all of their HQs. We translated the tool into French, German, and other languages.
